Inspection-ready every day: The challenge facing community pharmacies

Across community pharmacy, a familiar pattern is emerging - services are expanding, and regulatory expectations are similarly evolving, with increasing scrutiny on how standards are applied in practice. For pharmacy owners, superintendents and teams, the challenge is no longer just understanding how to meet the standards, it’s having confidence that high standards are delivered consistently, every day, by every team member.

One of the most significant changes in recent years has been the increased transparency of inspections. Publicly available reports now allow pharmacy teams to see sector-wide trends and recurring challenges, as well as individual outcomes. Pharmacies are aware of the five core inspection principles: governance, staff competence, premises, service delivery, and equipment.

At Numark we have discovered that teams often fall down during inspections through inconsistencies in day-to-day practice rather than missing policies.

Familiarity with daily workflows can make it harder to spot potential risks. Over time, informal workarounds may develop that feel efficient and do not align fully with regulatory expectations. Independent review or peer benchmarking can help identify these gaps before they become compliance issues, while sharing insights across sites and teams, helps encourage consistent practices and reduce variation, particularly in multi-pharmacy operations when operational pressures vary across locations or shifts.

To ensure pharmacy teams are prepared for these inspections, and more importantly, how they’re consistently aligning with regulatory expectations, Numark now offers structured support to its members through the Regulatory Health Check. Our service offers a practical, hands-on assessment in each pharmacy, typically lasting around three hours, allowing teams to review workflows, observe practice, and identify areas where governance, documentation, or procedural consistency could be improved.

The approach focuses on:

  • Assessment of everyday practice: Observing how procedures are applied day-to-day, rather than simply reviewing policies on paper.
  • Structured reporting: Delivering clear, factual feedback highlighting strengths and areas for attention, with prioritisation to help teams focus on the most critical compliance elements.
  • Practical guidance: Advising on aspects such as SOP management, near-miss reporting, date-checking, and other common operational challenges.
  • Consistency across teams: Supporting multi-pharmacy operators to maintain uniform processes and standards across locations.
  • Follow-up and support: Enabling pharmacies to review and implement recommended changes over time.

Traditionally, preparation for inspections has been reactive and there is an increasing need for pharmacies to adopt a proactive, continuous approach to compliance by monitoring and reviewing processes regularly. This approach supports regulatory readiness and strengthens operational resilience more broadly.

Regulatory expectations continue to evolve in response to emerging risks, expanded services, and wider healthcare developments.

Even pharmacies that have previously performed well cannot assume that existing processes will remain sufficient. Regular review, testing, and updates to procedures are essential to maintaining compliance.

Structured assessment and feedback, helps pharmacies anticipate inspection expectations and embed best practice consistently.

In addition, whilst conducting our health check conversations, we’ve also listened to and acted upon feedback and used it to shape the development of the Numark Training Library - a central training and standard operating procedures (SOP) platform created in response to what members said they needed during Health Check visits.

Maintaining standards in this environment is not just about compliance; it is about embedding confidence, consistency, and operational resilience across teams and sites. Pharmacy teams that adopt these approaches are better able to navigate inspection pressures, sustain high standards, and support confident, capable staff.

We’ve long said that pharmacy is the cornerstone of public health. We empower our customers to protect their health and are often the most, if not only, accessible healthcare setting.

We owe it to the communities we serve to ensure we meet regulatory standards and create the safe and trustworthy environment they deserve.
